About the Role
We are seeking a highly organized and detail-oriented Administrative Assistant to support advisors and account managers within the Client Asset & Wealth Management – Wealth Advisory Solutions & Private Family Office team. This role requires strong multitasking abilities, discretion, and professionalism in a fast-paced, client-facing environment.
Key Responsibilities
- Provide administrative support to advisors and account managers; offer backup support across the team
- Manage and coordinate complex calendars, meetings, and conference calls (internal & external)
- Arrange logistics for client meetings, including scheduling and resolving calendar conflicts
- Coordinate travel arrangements and process expense reports in a timely manner
- Handle confidential and sensitive client information with a high level of discretion
- Prepare and distribute correspondence, reports, and other documentation
- Interact professionally with senior business leaders and clients
- Organize and ship client materials; respond to and follow up on client requests
- Support onboarding of new hires and client accounts, including data entry
- Perform general administrative duties: copying, scanning, filing, faxing, archiving
- Manage inventory orders, invoice submissions, mail, shipping, and check processing
Required Skills & Qualifications
- 5+ years of administrative experience supporting executives or financial advisors
- Experience in financial services, private sector, or government environments preferred
- Strong communication skills (written & verbal) with a professional demeanor
- Excellent organizational skills and attention to detail
- Ability to multitask, prioritize, and work under pressure in a deadline-driven environment
- High level of integrity, discretion, and professionalism
- Proactive, self-starter with strong problem-solving abilities
- Strong team player with a positive attitude
Technical Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience with SAP Concur or similar expense management tools
