Roles & Responsibilities:
- Responsible for preparing various forms of written correspondence.
- Responsible for answering bureau phones, arranging conference calls, processing mail, along with preparing large mailings and aiding program staff.
- Responsible for monitoring a bureau mail log (BML), scheduling meetings, maintaining calendars and managing faxes.
- Responsible for data entry functions including entering, updating and maintaining databases, documents and spreadsheet information.
- Daily administrative assignments require strong computer skills and experience using Microsoft Office programs, including Outlook, Word and SharePoint.
- Experience working in an office setting requiring a combination of strong communication, organization and time management skills.
Job Description:
- This Administrative Assistant position will be required to perform daily administrative and clerical functions such as preparing letters, labels, and information folders for program activities and training.
- Data entry functions would include entering and updating information into program databases and assisting with review of operations materials.
- Other duties include answering bureau phones, arranging conference calls, processing mail, along with preparing large mailings and aiding program staff.
- Strong computer skills and experience using Microsoft Office Programs, including Outlook, Word and SharePoint are necessary for monitoring the bureau mail log, scheduling meetings, maintaining calendars and managing faxes.
- This position requires work schedule consistency and reliability due to providing bureau phone coverage, good organizational and time management skills and a professional approach to working with program staff and the public.
- This position will not supervise; travel is not required.
Miscellaneous Information:
- Workweek is Monday – Friday with an 8 hour shift and a 30 minute unpaid lunch; 40 hours per week.

- A DOH ID Card will need to be purchased by the Candidate for $13. Payment must be by check or money order, no cash.
- Interview will be held in person and at the work location
- Training will be provided.
