To provide reliable, confidential clerical assistance and other related duties and responsibilities in the Human Resources Department as assigned by the Manager of HR or AVP of HR.
Duties & Responsibilities
- Assist with maintaining employee records and information on Paylocity.
- Produce personnel related reports as requested.
- Takes incoming telephone calls to HR Department and responds or refers to AVP HR when appropriate. Back-up to the lobby calls from visitors, deliveries, postal service, etc.
- Assist in researching and providing appropriate answers to employees with HR questions through HR manuals and reference materials, and appropriate HR internet sites.
- Assist in all aspects of the payroll and report processing functions. Have a good working knowledge of payroll processing and online payroll functions to include reviewing leave requests, timecard approvals, and a working knowledge of the differing shifts throughout the CU.
- Process and reconcile HR-related invoices; coordinate with accounting as needed
- Assist with policy acknowledgement documentation, including annual policy reviews
- Handle incoming/outgoing mail for Human Resources and serves as back up for distributing all incoming mail to the appropriate department or mail bin (opening and sorting, as well as routing mail that requires attention of others.)
- Documenting and filing employee reviews. This includes 90 day, 6 Month, and Annual reviews, including assisting in circumstances that may involve outlier reviews as needed.
- Gather employee feedback from New Hire surveys.
- Assist with bi-weekly and monthly payroll/employee related logs where required.
- Assist in completing quarterly or annual compliance/employee/payroll related reports as required (EEO, VETS, DOL Worksite, Short-term Disability, PFL).
- Assist with on-boarding new hires through payroll system. Will send appropriate on-boarding documents prior to new hire arrival and prepare for orientation. May assist in logistics of Orientation.
- Assist with employee annual benefit analysis. Compiling all data and inputting on prepared employee templates. Distribute to employees, with the ability to answer any related questions.
- Responsible for preparing off-boarding packets for terminating employees and mailing on a timely basis.
- Responsible for ensuring our COBRA vendor has processed a terminated employee through their portal.
- Assist with all year-end processing to include benefit accruals. Analyze payroll taxes and distribute W-2’s when necessary. Monitor benefit accruals on payroll system.
- Be able to explain and respond to benefit questions by employees. Monitor benefit information so that updates are made appropriately and timely on the intranet for employee reference.
- Support and assist with the implementation of any HR initiatives to include process improvements (e.g., digitizing forms, improving workflows)
- Assist with award preparation of employee appreciation initiatives: Silver Star, Perfect Attendance.
- Assist with Happy Daze employee morale building program.
- Support internal communication efforts (e.g., HR newsletters, bulletin boards, email updates, Community Page in Paylocity).
- Participate in internal committees or task forces if applicable.
- Assist with position postings on DOL website and postings to differing group affiliations, including Veterans, and Individuals with Disability sites to expand talent pools to hire from. Place recruitment ads through online recruiting sites and assist at Job Fairs where needed.
- Assist with processing involved with enrollment into our retirement benefits.
- Assist with filing and upkeep of paperwork in employee personnel files on payroll system.
- Assist with logging applications and resumes. Update and compile data for annual reviews for appropriate reporting agencies.
- Have a working knowledge of DocuSign, Paylocity, and Synergy in order to provide efficiency in the department.
- Monitors supplies for Human Resources inventory and assist in placing orders as needed.
- Support other HR team members and assist in additional areas of the department as needed
- Perform other duties as assigned.
Requirements

- Driven to ensure a strong team member experience in the CU.
- High school graduate or GED equivalent.
- Previous experience in a Human Resources environment with college related courses is preferred.
- Strong computer skills with strong knowledge of Microsoft Word, Excel, Adobe PDF and working with Scanner devices.
- Strong verbal and written communication skills.
- Strong organizational skills.
- Ability to maintain a high level of confidentiality.
- Business office setting experience preferred.
Work Schedule: Monday - Friday
