Pay Range: $18.96 to $26.40
Job Summary: Assists Chief Operating Officer (COO) resolving concerns of staff, family members & people supported. Assists COO with organizing appointments, travel and conference planning and attendance for the operating team. Coordinates board committee meetings. Assists with projects and monitoring key programmatic detail.
Job Qualifications
- High school diploma/GED required. Associates degree in related field preferred.
- Five years' experience in an assistant capacity required.
- Must be able to work independently and have excellent organizational skills and office skills including typing and be proficient in the use of word processing, spreadsheets, and Microsoft Project, PowerPoint, Excel and Microsoft Publisher.
- Must have good working knowledge of office equipment.
- Good communication and interpersonal skills are required.
- Must be able to read, write and speak the English language.
- Valid NYS Driver's license that meets agency standards and reliable transportation.
Major Responsibilities
- Serves as the first point of contact for directors, administrators, staff and family members. Resolves questions and concerns directly through referral to the correct source.
- Exhibits sound judgment and the ability to make reasonable decisions in the absence of direction. Prepares for upcoming appointments by gathering materials necessary for meeting appointments.
- Monitors fire safety reports and residential & day billing and follows up with managers, ADs and Directors to ensure completion, scanning & timely submission.
- Perform all secretarial/administrative work for Chief Operating Officer including screen incoming mail and interoffice correspondence, screen incoming calls, maintain appointment calendar, maintain files, and prepare/distribute correspondence as required, coordinate travel arrangements and conference registrations for all administrators in day, residential, medical, clinical and FSS. Electronic time manager for staff members.
- Coordinate board meetings with staff liaisons and board members for CCL, Inc. and its subsidiary boards; including coordinate agenda and collection of committee reports. Attend meetings, prepare minutes, distribute all board information including resolutions and minutes, and maintain records of all proceedings.
- Assist with coordination and review of operational initiatives, such as OT monitoring, manager hours and DOL compliance.
- Schedules and prioritizes meetings and appointments and follow up with all involved administrators to manage workflow.
- Back-up for Executive Assistant as needed, including secretarial/administrative work for CEO and ARC Board meetings and correspondence.
- Follows up with family members and staff as needed. Completes agency communication guides and distributes to all family members.
- Assist in coordination and preparation for Agency functions, as well as NYS Alliance annual conferences and quarterly meetings for Capital Region executives.
