We are looking for an experienced Executive Assistant to support a busy contracts administration team in New York. This contract position is ideal for someone who is highly organized, comfortable working closely with leadership, and able to manage both office-based coordination and offsite meeting support. The role requires strong judgment, effective communication, and the flexibility to travel locally by car to attend meetings and capture accurate discussion notes.
Responsibilities:
• Provide high-level administrative support to the contracts administration department and assist leadership with daily operational needs.
• Coordinate complex calendars, schedule meetings, and help ensure priorities and appointments are managed efficiently.
• Travel to offsite meetings as needed to support leadership, document key discussion points, and prepare organized meeting notes.
• Arrange business travel and meeting logistics, including reservations, timing, and related coordination details.
• Facilitate conference calls and other meetings by preparing materials, confirming attendance, and supporting smooth execution.
• Maintain clear records, correspondence, and administrative documentation with a high degree of accuracy and professionalism.
• Serve as a reliable point of contact for internal stakeholders and provide responsive, service-oriented administrative assistance.
• Prior experience in an Executive Assistant or Administrative Assistant role is required.
• Ability to travel locally for meetings and possess reliable transportation with a valid driver’s capability.
• Strong calendar management skills and the ability to coordinate multiple priorities effectively.
• Experience taking detailed, accurate notes during meetings and summarizing key information clearly.
• Proficiency in arranging travel and supporting meeting logistics in a detail-focused environment.
• Comfortable handling conference calls, communication coordination, and general administrative tasks.
• Strong customer service, communication, and organizational skills with close attention to detail.
