Position Overview
AKIVA is seeking an experienced Administrative Assistant to provide temporary administrative support at a public sector client site in New York’s Capital District. You will be the backbone of daily office operations, handling phones, correspondence, scheduling, data entry, and document management. This role is ideal for a detail-oriented professional who thrives in a fast-paced office environment. As an AKIVA team member, you will be equipped with AI-powered productivity tools including Microsoft Copilot and specialized AI assistants for document drafting, email management, and data organization. Training is provided.
Key Responsibilities
- Manage multi-line phone systems, route calls, and take accurate messages
- Perform data entry, typing, filing, and document preparation with high accuracy
- Coordinate scheduling, meeting logistics, and calendar management
- Prepare correspondence, memos, and reports using Microsoft Office Suite
- Manage incoming and outgoing mail and package distribution
- Maintain organized filing systems (physical and digital)
- Assist with copying, scanning, and other administrative tasks as assigned
- Leverage AI-powered tools provided by AKIVA to accelerate document drafting, data organization, and scheduling tasks
Required Qualifications
- 1–2 years of administrative or office support experience
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Strong typing skills (50+ WPM) with high accuracy
- Excellent verbal and written communication skills
- Ability to multitask and prioritize in a deadline-driven environment
- Professional demeanor and strong organizational skills
- Must pass background check and drug screening
- Valid work authorization required
Preferred Qualifications
- Experience in a public sector or government agency setting
- Familiarity with transportation or transit authority operations
- Experience with document management systems
- Comfort with AI-powered productivity tools (training provided)
