Overview:
Under the direction of the Director of Special Events, the incumbent plans itineraries, and arranges accommodations, logistics and other travel services for PEF staff and PEF members. Deals directly with PEF staff and PEF members to determine destination, mode of transportation, travel dates, financial considerations, and accommodations required in accordance with PEF policy.
Position is based in Latham, NY (office setting with occasional travel required).
Responsibilities:
- Plans, describes, and arranges travel for PEF staff and members, using knowledge of available travel services, promotions, discounts and policies.
- Books transportation and hotel reservations, using online resources, computer, and/or telephone.
- Calculates/tracks costs of travel and lodging with relation to GSA per diems and allowances under PEF policy.
- Coordinates with Finance Department for payment by PEF for all travel booked.
- Handles travel logistics for PEF Convention and other special events.
- Advises members/staff to appropriate authorities to obtain proof of citizenship and meet other requirements/regulations for international travel.
- Researches and facilitates accommodation for member/staff special needs and any necessary schedule changes as requested.
- Performs routine office work and works as part of the Special Events Department.
- Consistent and reliable attendance.
- Perform other duties as assigned.
Qualifications:
- At least two years’ experience as a Travel Agent, Event Coordinator/Scheduler/Planner, and/or relevant experience in event coordination (Travel Arrangements, Travel Management, and Business Travel).

- Proficiency in travel booking platforms and office software is a plus.
- Consistent and reliable attendance is critical.
Salary and Benefits:
The salary range for this position is $45,569.00 (minimum) - $58,478.00 (maximum).
