Office Administrator (Fully Onsite in Albany, NY | Mon–Fri 8:00am–5:00pm - 45 hour work week)

Overview
Tech Valley Talent is seeking an Office Administrator (Fully Onsite) to serve as the welcoming “face” of the client’s office. In this role, you will ensure daily office operations run smoothly—supporting 200+ staff, managing guest reception and security badging, coordinating logistics, and keeping office workspaces organized. Required Skills
- 3+ years of experience as a receptionist for a large office or as an administrative assistant supporting executive or C-suite leadership
- Ability to represent firm culture and standards with professionalism and discretion
- Must be onsite 45 hours/week (8:00am–5:00pm, Monday–Friday)
- Strong computer skills: Microsoft Outlook, Word, Excel, PowerPoint
- Excellent interpersonal and communication skills; outstanding customer service mindset
- Strong initiative and problem anticipation; ability to triage issues and take action
- Ability to prioritize, multitask, and manage time effectively
- Comfortable adapting to new procedures and sudden schedule changes
- Strong teamwork skills with sensitivity to a diverse, cross-functional environment
- Legally authorized to work in the United States without sponsorship (now or in the future)
Nice to Have Skills
- Experience coordinating complex meeting logistics across time zones
- Familiarity with workspace reservation tools and office support workflows
Education and Experience
- Preferred: High school diploma or equivalent; additional business/administrative education is a plus
- Experience: Proven success supporting large offices and/or executive leadership for at least 3+ years
Other Requirements
- Fully onsite requirement: Monday–Friday, 8:00am–5:00pm (45 hours a week) in Albany, NY
- Ability to support security procedures, including visitor access/badging responsibilities (as assigned)
Daily Tasks (Included)
- Greet visitors and manage front-desk reception; issue and manage visitor badges and passes
- Maintain visitor logs; assist staff with badge issues; track badge inventory
- Manage incoming/outgoing mail and packages; submit maintenance requests as needed
- Book and manage office conference rooms using workspace reservation software
- Support office supply and kitchen refreshment inventory; coordinate replenishment
- Maintain legal postings and adhere to health and safety policies; help triage facility and technology requests
- Support office calendar management and coordinate meetings and conferences as needed
- Coordinate catering and refreshments for staff and leadership requests
- Assist with office announcements and project-wide communications in coordination with PMO
- Manage logistics for office functions and events with minimal direction
