Overview
The Project Manager (PM) oversees the efficient management of projects’ workflow, finances, and resources of assigned account and aligns with Client Services on the overall project scope and timeline. The PM is responsible for the execution of projects and aligning financial and logistical expectations via timeline schedules, budget tracking, and resource management SOPs. May oversee project coordinators (PCs) and provide guidance to less-experienced PM teammates.
Responsibilities
- Oversees and manages workflow of all assigned projects
- Develops project timelines
- Generates content for daily hot sheets and timeline adjustments
- Manages external vendors involved in the production of projects
- Initiates, creates, and manages project budgets (pricing and assumptions) inclusive of obtaining team input/approvals and entering into systems
- Assists in reconciliation of projects by providing insight/rationale into discrepancies and notifying the team of out-of-scope items and hours
- Develops and maintains internal status report
- Conducts and orchestrates weekly agency status meetings
- Drafts weekly compilation of resources needed to execute scheduled work for assigned accounts and provides weekly reviews and updates of allocated resources to leadership
- Oversees/manages the timing and completion of Med-Legal-Regulatory Review submissions
- Provides input for Client Contact Reports and summarizes next steps for client interactions
- Attends client status meetings and offers solutions for challenges regarding timing, logistics, and production concerns
- Assist as needed in the mentoring, coaching, and assisting in the training and overseeing of Project Coordinator's execution of responsibilities
- Manages and trains all junior MPATHIK Project Management team members
- Responsible for project managing MPATHIK projects according to workflow process ensuring routing and process is enforced and that employees are trained on the routing process
- Responsible for prioritizing projects and managing workflow across all agency disciplines
- Responsible for ensuring that detailed project updates and necessary touch base meetings are executed efficiently on a daily basis
- Manages the production of detailed timelines and is responsible for ensuring that appropriate resources are in place to cover workload
- Evaluates timelines across clients/projects to ensure that deliverables can be met
- Is pro-active in managing all the details throughout the project to ensure that all action items are accomplished in a timely and accurate manner
- Balances MPATHIK/client needs and consults appropriate team members for input/approvals of proposed timing scenarios
- Partners with the core team to assess workload, evaluate appropriate skill sets and effectively match talent to task. This includes understanding the details of each project, evaluating the talents of each team member and understanding the project volume/workload
- Establishes clear project milestones and triggering vendor payments where appropriate
- Maintains a clear and reasonable vision of next steps and implications during meetings, conversations or whenever the parameters of a project change.
- Manages on time, on budget delivery of projects through use of appropriate resource and processes.
- Assists MPATHIK client services team in drafting statement of work and scope definitions as well as traditional project estimate delivery.
- Guides internal stakeholders and clients through project schedules of critical dates, explains and clearly articulates details embedded in estimates and statements of work.
- Management of outside vendors (e.g. animations, video, etc.)
- Responsible for onboarding freelancers, managing allocation of freelance hours across all projects, tracks all hours and ensures timely invoice payment.

Experience
- Bachelor’s degree or equivalent plus 3+ years of relevant industry experience in Advertising
- Previous project management and project planning experience (2+ years)
- Budgeting, financial tracking, and resourcing experience a plus
- Pharmaceutical experience; product launch experience is a plus
- Social media savvy, utilizing active personal and professional accounts
- Excellent skills in Microsoft Office Suite (Word, Excel, and PowerPoint)
- Proficient in project management systems (HIVE a plus)
Salary Range: $65k-$85k
