The Talent Acquisition Coordinator supports the recruitment process by delivering a high-quality, efficient candidate experience from offer acceptance through first day of employment. This role serves as the operational backbone of the talent acquisition function, coordinating pre-employment activities including background checks, drug screens, onboarding documentation, and new hire readiness, while also supporting interview scheduling, candidate communications, reporting, and broader recruiting administration. The ideal candidate is highly organized, detail-oriented, responsive, and comfortable managing multiple moving parts in a fast-paced environment.
Job Responsibilities
- Manage the post-offer/pre-employment process for U.S. candidates from accepted offer through first day of employment, ensuring a seamless and compliant onboarding experience.
- Initiate, monitor, and manage pre-employment screening activities, including background checks, drug screens, employment verifications, and other required pre-hire requirements.
- Serve as the primary point of contact for candidates during the pre-onboarding process, providing timely communication, guidance, and issue resolution to ensure a positive candidate experience.
- Assist with coordination of interview scheduling between candidates, hiring managers, recruiters, and other stakeholders, balancing speed, professionalism, and candidate care.
- Prepare and distribute onboarding documentation, offer-related communications, and pre-start instructions, ensuring accuracy and completeness.
- Partner closely with recruiters, hiring managers, HR Partners, HR Operations, and other internal teams to ensure all pre-hire and day-one requirements are completed on time.
- Track candidate progress through the hiring workflow and proactively identify delays, issues, or incomplete requirements that could impact start dates.
- Maintain accurate candidate and recruiting data within the applicant tracking system and related systems.
- Generate and distribute recruiting reports, dashboards, and hiring activity metrics to support operational visibility and decision-making.
- Support recruiting process administration, including requisition workflow support, documentation management, and process coordination as needed.
Core Skills/Competency Requirements
- Bachelor’s degree preferred
- 2+ years of experience in talent acquisition preferred.
- Must demonstrate exceptional organizational skills and accuracy when managing multiple candidates and deadlines
- Strong written and verbal communication skills with the ability to communicate professionally, clearly and responsively to multiple stakeholders
- Ability to deliver a high-quality candidate experience through responsiveness, professionalism, and proactivity
- Ability to manage multiple workflows simultaneously, balancing competing demands
- Ability to handle sensitive candidate and employment related information
- Proficiency with Microsoft Outlook suite (particularly Excel and Teams) required
- Proficiency with Applicant Tracking Systems preferred
