Duties Description Duties Description The Office Assistant 2 Stores/Mail duties in Bureau of Administrative Support will include but are not limited to the following: • Perform a variety of duties essential for the operation of the agency’s mailroom.• Coordinate logistics for office moves.• Set-up conference room configurations as needed.• Provide customer service and clerical support, greet visitors and allow mailroom access to authorized individuals.• Sort, distribute, and deliver mail and packages.• Communicate effectively with agency staff, vendors, shippers and other parties.• Receive, unload, sort, and distribute supplies.• Maintain the stockroom storage area and restock shelves as needed.• Perform a physical inventory of the warehouse on a regularly scheduled basis, organize and clean the space, verify counts and update the inventory tracking system.• Create, maintain, and update spreadsheets and other documents.• Assess the need to order supplies based on inventory levels and enter purchase requests into the Statewide Financial System.• Operate and perform basic maintenance on mail processing and office equipment.• Routinely lift and/or carry heavy items, reach, bend, stand, and walk for long periods of time.• Operate a motor vehicle to pick up and deliver mail, packages, furniture and other miscellaneous office supplies and equipment to agency locations statewide.

PREFERRED QUALIFICATIONS: • Prior mailroom experience.• Mail postage machine experience.• Experience maintaining large quantities of inventory.NY HELPS This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. At a future date, it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all the same rights and privileges of competitive class employees of New York State.
